Well Animal Hospital is a new (we just opened in July, 2024) animal hospital in Livermore. At Well Animal Hospital, our Fear-Free Certified staff are committed to creating an environment where both animals and their humans feel calm, comfortable, and supported. We believe in a calming, stress-free experience for everyone, which is where our Customer Service Representative (CSR) comes in.

This unique position is perfect for someone who loves interacting with both people and animals. You’ll help ensure that our clients are happy, well-informed, and at ease during every step of their visit.

As the Customer Service Representative (CSR), you'll be the first point of contact for our clients, ensuring they feel welcomed, comforted, and supported throughout their experience at Well Animal Hospital. You'll guide them through emotional moments, keep them informed about their pets' care, and meet their needs with warmth and empathy. Your role will also include those little touches that make all the difference—like greeting clients with a friendly smile, offering a comforting word, holding the door open for clients when needed, helping with pets to and from their cars, and managing medical records in our system.

 

Key Responsibilities:

  • Medical Record Management: Add reminders or notes to medical records in our system, ensuring that follow-ups and treatments are tracked accurately for our veterinary team

  • Client Engagement: Greet clients with a warm, empathetic approach, making them feel at ease as they arrive at the hospital.

  • Appointments: Answer phone calls to schedule appointments, providing helpful and efficient service while ensuring clients can easily book their visits.

  • Emotional Support: Offer comfort to clients during emotionally challenging times, including providing updates and explaining procedures, as well as offering a calming presence during euthanasia or difficult diagnoses.

  • Client Updates: Send pictures or updates to clients whose pets are undergoing procedures, ensuring they feel informed and connected.

  • Intake: Collect vital signs and a brief history of the pet at check-in to ensure the veterinary team has all necessary information.

  • Administrative Support: Assist with checking clients out, scheduling follow-up appointments, and handling payments in a friendly and efficient manner.

  • Create Comfort: Offer refreshments (coffee, water) and other small touches to help clients feel at ease during their visit.

  • Friendly & Professional: Calm and professional, even in challenging situations.

  • Tech-Savvy: Comfortable using computers to update medical records.

  • Helpful: Willing to go the extra mile with practical tasks like opening doors or assisting clients with pets
